Helps sort out Little Huddle (Part Time Executive Team Administrator)

Location: Henley on Thames

Reports to: Facilities Manager + provides support to our senior leadership team aka Little Huddle

Contract: Part time – ideally 3-4 short days spread across 5 calendar days (approx 20-25 hours)

 

Purpose:

To support the CEO + Little Huddle members (senior leadership team) with admin + organisation so that they can lead Ella’s + add value.

 

Role activities / Responsibilities:

Support Little Huddle day to day

  • Collate + submit expenses for all Little Huddle members
  • Organise + diarise Little Huddle meetings including regular weekly meetings, strategy meetings, offsite events/training, teambuilding time
  • Support Little Huddle members with organising their meetings

Manage the CEOs diary + workload

  • Deal with speculative calls + emails
  • Support with B’corps related meetings + activities
  • Prepare PowerPoint presentations + key communications on behalf of the CEO
  • Remind the CEO of upcoming deadlines

Organising travel and accommodation

  • Organise + book international + UK travel for the Little Huddle team

Organise company wide events

  • Work closely with Little Huddle to organise our yearly strategy day including organising a venue, coordinating the running order, collating materials, liaising with external speakers/trainers
  • Organise our monthly Ella’s Assembly including diarising 12 months of assembly dates, collating team presentation slides + ensuring regular slots are included
  • Liaise with external speakers sourced by Little Huddle + book speaking slots at our weekly lunches
  • Work with the Happies team to organise the Summer + Christmas parties

General support

  • Cover reception on a regular basis

 

You will need:

  • Strong administration experience including diary management possibly gained as a PA
  • Strong attention to detail, super-duper organisation skills with a logical/methodical + proactive approach
  • Fantastic communication skills + an approachable manner
  • Absolute discretion regarding sensitive issues
  • Strong knowledge of + experience of using MS Office applications
