HR Administrator/Talent Coordinator (Helps Make People Happy)

Location: Henley on Thames

 

Reports to: Makes People Happy (HR Manager)

 

Contract: Full time Monday to Friday (40 hours)

 

Purpose: Working with Makes People Happy to nurture a working environment where people want to work, making sure our brand resonates inside + outside the Barns.

Role activities / responsibilities:

Help find new buddies for our team (Recruitment)

  • Support the HRD + HRM to deliver our recruitment strategy ensuring our approach promotes diversity + inclusion + our candidate journey oozes Ella’s-ness
  • Coordinate our Talent Plan
  • Working with the HRM + Friends (Marketing) to devise a social media strategy
  • Liaising with agencies to confirm recruitment requirements
  • Management of external job posts + LinkedIn
  • Working with managers to ensure the application tracking system is kept up to date
  • Scheduling interviews + liaising with candidates to confirm attendance
  • Administering Talent Q profiling
  • Producing contracts of employment + offer letters for sign off
  • Complete + manage reference checks
  • Organise inductions + make sure all new starters are all set up + get a great Ella’s welcome

 

Look after our internal talent (Learning + Development)

  • Support the HRD to devise + implement our annual costed training + development plan working with the HRM to reflect wider organisational needs e.g. Wellbeing calendar
  • Oversee the training tracker to ensure records are kept up to date
  • Ensure all training requirements are sourced + booked
  • Ensure all newbies are booked onto Ella’s Academy

 

Creating an internal love brand for our Buddies (Employee Engagement + Wellbeing)

  • Work with the HRM to deliver our engagement survey (Talk to Buddy) aiming for 100% completion rates
  • Support the HRM + FM to ensure all wellbeing events are scheduled + booked
  • Promote Open Blend as appropriate + ensure all users are confident + set up to undertake sessions

 

Our People System

  • Take responsibility for our HR information system, PeopleHR; ensure that all data is current; be the main point of contact for any technical queries from across Ella’s
  • Setting up newbies on to our systems + processing all leavers
  • Assist managers with any queries/stats/questions about our people demographics + produce monthly management reporting information
  • Manage our appraisal process (My Big Chat and My Little Chat) content + process to ensure effective + timely completion
  • Analyse performance data to provide information of performance trends + suggest solutions

 

HR Projects

  • Payroll administration support
  • Work with the rest of the Happies team, + engage relevant team members, along the journey to ensure projects are fully aligned to the business + our mission
  • Ordering value awards, maternity vouchers + flowers
  • Managing our central Happies inbox answering any general queries
  • Support note taking in meetings
  • General letters
  • Supporting specific HR projects e.g. Handbook + Policy updates

 

You will need:

  • Strong HR administration + recruitment experience
  • Strong attention to detail, super-duper organisation skills with a logical/methodical approach
  • Fantastic communication skills
  • Absolute discretion regarding employee issues + data
  • A working knowledge of current employment law would be useful
  • Strong knowledge of + experience of using MS Office applications
